Executive Assistant - Management Secretary (50%) - vacancy for a globally operating Basel based company in the financial sector.
Your experience/skills:
* Substantial prior secretarial and administrative experience in a private sector - financial institution, international organisation or central bank
* Proficiency in Microsoft Office applications, word-processing, but also spreadsheet, e-mail, presentation, database software and internet tools
* Familiarity with document management system/platforms or willingness to acquire it quickly
* Excellent team player, ability to multitask with good communication and interpersonal skills
* Absolute discretion in treating confidential and restricted information
* Minimum 2 year secretarial diploma or equivalent is needed; higher-level qualifications, in office management and business administration is of advantage
* Languages: English, fluent in written and spoken
Your tasks:
* Supporting senior management by carrying out and coordinating secretarial and administrative tasks
* Acting as a link between internal and external contacts and the GMO, especially with respect to external communication and public engagement
* Provides coverage and backup for the other Management Secretaries in the GMO as needed
* Coordinating the arrangements for recurrent and ad-hoc internal and external meetings
* Supporting the Advisers to the General Manager and Deputy General Manager in preparation for external events, including editing and formatting speeches, interviews and texts, as well as general notes and internal and external correspondence
* Providing occasional support for visitor programmes; by receiving visitors and providing them with assistance if required
