Description

Responsibilities:

* Assisting 2 different teams
* Manage Records and Documents with priority to compliance related records (Grants
Sponsorship and Donations, HCP interactions, Brand Communication/Content
Management approval in Zinc and eSoruce, COREMAP etc)
* Management of document shared platforms (google drive, touchpoint etc)
* Management of teams Distribution Lists, News Flow and Intranets (G+ etc)
* Vendor Management and liaison with Procurement on behalf of teams
* Coordination of logistics for internal and external meetings, VC's, Webcasts, TCs, and
team/project workshops.
* Managing agenda for Line Managers team leads
* Supporting on recruitment and onboarding of new team members
* Be the point of contact for general requests involving the departments
* Project support on cross functional projects (example, Activity Based Work Transition,
Women's Professional Group etc)
* Act as backup for other assistants during absence

Requirements:

* MUST HAVE​: You have 3-5 years of work experience in a similar position
* MUST HAVE​: Appropriate qualification (e.g. commercial apprenticeship or
commercial college or equivalent)
* MUST HAVE​: Excellent expertise on MS Office (Word, Excel, PowerPoint) Calendaring
and Emailing skills, social media tools (G+ etc) and Share Document platforms
(Touchpoint, Google Drive etc)
* MUST HAVE​: Perfect spoken and written English, as well as fluency in German
* PREFERRED​: Basic experience on handling compliance documents and records in
Pharmaceutical industry
* PREFERRED​: Experience on project coordination/organisation/support (>5 team
members)
* PREFERRED​: Experience in working with multiple managers/teams
* Excellent communication skills

You will be a reliable professional, who can liaise with different audiences and cultures,
handle difficult and often pressurised situations and respond effectively to requests.
Proactivity, taking the initiative to contribute, has excellent organisational skills and
the ability to prioritise.
